TIP 4. Expedite Mail Folder Cleanup

You can use Outlook 2002's Rules Wizard to delete specific types of messages (i.e. junk mail) and move other types directly into folders as they arrive. The Rules Wizard allows you to specify different Personal Folders files for each rule. Using rules to move messages into different folders in your primary Outlook data file allows you to specify custom AutoArchive options for those folders.

TIP 5. Clean Up Your Mailbox

A new tool in Outlook 2002 helps you cleanup your mail. Here's how to use the tool:

Step 1. From the Tools menu, select Mailbox Cleanup.

Step 2. The Mailbox Cleanup dialog shows you how much disk space each folder or box occupies.

Step 3. To search for messages by size or age click the Click Here button.

Step 4. Enter your search criteria and click Find.

Step 5. Outlook 2002's search engine tracks down the messages meeting the criteria and displays them in another window.

Step 6. Select all by clicking in the bottom pane and holding down the Ctrl-A keys. Or, select Some by holding down the Ctrl or Shift key and clicking on the individual messages. Once you've selected the messages press the Delete key and the messages are sent to the Deleted Items folder.

TIP 6. URLS Become Hyperlinks

Outlook 2002 recognizes URLs in the Subject line of messages and turns the URLs into hyperlinks. Any recipient receiving a message with a URL in the subject line needs only to click on it and their default browser opens the Web page.

TIP 7. Not All Copies Update

When you drag an item onto the Windows desktop or into a folder you can create a copy of the item. But making copies using the drag and drop technique creates a new file containing only that item. Since there is no link between the new file you create and the file that remains in Outlook, changes made in either place will not be reflected in the other and will have to be manually updated.

TIP 8. Outlook Doubles As a Browser

Outlook 2002 can double as your browser as well as your e-mailer. To use Outlook 2002 this way, type any URL into Outlook's Address Bar and press Enter. The Address Bar is generall visible below the toolbar and just above the uppermost pane. If it is not visible, click the vertical line next to Address and slide it left until the Address box becomes visible. Using Outlook 2002 this way causes the resulting Web page to appear where your e-mail's message header and Preview Pane normally display.

TIP 9. Assign Dates Easily

Outlook 2002 is capable of interpreting dates from different types of text. If you type just the month and day in any sequence, Outlook 2002 will automatically assign the current year. If a date has passed, Outlook 2002 will assign the next year. You must take the responsibility to see that the year corresponds with the correct one for your purposes.

TIP 10. Separate Your Affairs

You can separate your business and personal affairs by making multiple copies of the Outlook calendar. To make a copy of the default calendar, follow the following steps:

Step 1. Select View Folder List and click on Calendar.

Step 2. Choose File, followed by New, followed by Folder.

Step 3. Name your folder and click on OK.

Step 4. The new calendar should appear as a subfolder under Calendar in the Folder List.

Step 5. You still have access to your Home calendar by clicking on it.

You can use this method not only to separate your business and personal appointments, but to allow people sharing the same computer to have separate calendars.
